Virtual Access Upgrade

Upgrade your WE12 Conference experience by registering for virtual access. By upgrading your registration, you never have to worry about missing a session!  Many of the most popular sessions, including the keynote presentation and plenaries, will be available for replay following the conference. The on-demand recorded sessions along with supplementary materials offer the benefit of listening and studying the materials at your own pace.  Each online session will be accredited with CEUs and PDH credits, so if you missed it at WE12 you can watch it later and claim credit.

*Virtual participation access is available for just $19.95 with each full-conference registration. This gives you access to 25 recorded online sessions.

Collegiate and Faculty Promotions

Collegiate Representative/President Housing

We are pleased to offer Collegiate Section Presidents, complimentary housing for WE12. If you are one of these representatives and have paid for a collegiate conference registration, we will place you in a room with three other presidents and/or representatives.  WE12 accommodations will be at the Inn of the Ballpark.

This special promotion includes assigned housing for Wednesday, November 7 through Sunday, November 11 at a designated hotel in Houston, TX.  To register for this option, insert the special code HOUSING, at the bottom of the WE12 registration page. 

Restrictions apply:

• Participants MUST check in before midnight on Wednesday, November 7 and stay four nights.   If a participant must leave before Sunday, November 11, she must contact conferencemanager@swe.org.
• The participant must be a Collegiate Section President (or an assigned replacement/designee).
• No charges can be made against the room. All incidental expenses must be paid for by credit card. Room and Tax will be paid for by SWE.
• SWE will arbitrarily assign roommates, only segregating by gender. NO special requests for roommates will be honored.  SWE will assume that those taking advantage of this offer are women. A male registrant must alert conferencemanager@swe.org.
• This offer is not a requirement of participation in the conference, but SWE will not fund any alternate housing options.
• Identity of the CSP/ will be determined by the section/region report filed with SWE HQ. Any section/region who has NOT submitted their reports are not eligible for this offer.
• Registrant will conduct herself with integrity at the hotel as a condition of this promotion.
• Registrant agrees to hold SWE harmless from and against all claims, actions, causes of action, or liabilities arising out of or resulting from any act, negligent or not, undertaken or committed while participating in this promotion.
• Request for rooming must be made no later than October 1, 2012.
• This promotional code cannot be combined with any other conference discounts.

Waived Registration for Faculty Advisor

The faculty advisor for any collegiate section that has four registered members may be eligible for complimentary base registration.

• All special events, tours or CES ticket prices still apply. This option is only available until October 1, 2012.
• The faculty advisor must be identified on the section report filed with SWE HQ. Any section/region that has NOT submitted its reports are not eligible for this offer.
• To register for this option, insert the special code, FACULTY, at the bottom of the WE12 registration page.

Registration and Admittance Policies

Registration Discount
The Society of Women Engineers has negotiated discounted room rates with select hotels that offer a variety of amenities and are in close proximity to the George R. Brown Convention Center.

Refunds
Refunds will be issued for written, faxed or emailed cancellations only, and that are received at the registration office on or before September 9, 2012. No telephone cancellations will be accepted.  Refund is limited to basic registration fees. No ticket prices for special events or tours can be refunded.

Under 18 Years of Age Policies
Attendees must be over 18 years of age to attend a technical tour. Children can accompany parents to any sightseeing tour unless otherwise designated. For safety reasons, no one under the age of 18 will be allowed in the exhibit hall during setup. Minors will be allowed in the exhibit hall during the Career Fair posted hours, but only if accompanied by a parent or guardian. For specific questions regarding age limits and policies, contact the conference manager at 1-800-892-2858.

Guest Fee Clarification
Our special reduced guest fee is limited to one guest per paid registrant (with the exception of the registrant’s children under 18 years of age). The guest fee is limited to participant's spouses and guests. It includes exhibit events and general non-paid social events. Guests are allowed to purchase tickets to paid events when accompanied by a participant, excluding professional Career-Enhancement Series (CES) courses.

Career Fair Only Badges
Local students and professional job seekers are encouraged to attend our Career Fair on Friday, November 9, 2012 for a nominal fee. However, this badge is restricted to those seeking positions.

If you need to update your résumé, check your email or get some work done for your meeting, WE12 has many resources available free of charge. With the support of our sponsors, we will supply computers and printers, and host Internet access.

Attend IMECE 2012 at ASME Member Rate

SWE members will be able to attend the ASME Congress, Nov. 9-15, at the ASME member rate! To access this special offer you must select “Society of Women Engineers” using the on-line registration. IMECE 2012 is being held in Houston at the Hilton Americas hotel, which is adjacent to the George R. Brown Convention Center and overlaps with the end of the WE12 Conference. Last year, more than 3,000 attendees from around the world participated in the ASME Congress.
